What You Can Do

 

Language Marketplace has put together a little checklist to help ensure that your conference goes smoothly and that the conference interpreters that have been assigned to your conference are well prepared.

 

Documentation: In order to ensure that our conference interpreters are familiarized with the topic of your conference we ask that you kindly provide use with copies of all documents, presentations and written speeches (if possible) as soon as possible. This will ensure that our conference interpreters have had time to review the material given and prepare their own glossaries. This will ensure that they gain a better idea of the subject that will be discussed and they will understand your speakers better. If you cannot send a copy of the material before hand, please ensure that a copy of the material is in the interpreter's booth for each interpreter, along with a copy of the agenda. If any document is circulated during the meeting please ensure that 2 copies of that document is given to each booth during the meeting or before hand.

 

Liaison: For efficient coordination it is advised that you select one person who will be responsible for the liaison with the interpreters through their team leader during your meeting.

 

Technical Equipment: Ensure that the equipment supplier is providing the number of booths required for your meeting and number of conference interpreters (one booth per language is required), that the equipment supplied is reliable, and that there are enough receivers for all the attendees who need the conference interpreted in their language. A reputable supplier will also ensure that a sound technician is present during the conference. For smaller meetings using a wireless system, please ensure that the system is tested beforehand.

 

Projection: If there are any visual presentations, such as slides, transparencies or videos, please ensure that the screen in clearly visible from the booths and that the conference interpreters have received a script of a copy of the texts to be projected, in the visual presentation, in advance.
